User management
This section contains reports used to manage Users and BPS Groups analogously to Global parameters → BPS users and groups list. The report for managing users also contains options to manually assign licenses, analogously to System settings → Licenses allocation. The view for granting temporary implementation access can be found in a separate report in this section.
The options available here allow the Portal administrator to have the same level of control as in the system settings.
Additionally, this section contains a report for monitoring the usage of Single-Use Access licenses.
BPS groups
Report used to create and manage BPS groups analogous to System settings → BPS Users and groups list.
The menu allows you to configure a new group. Entering its Name and identifier (BPS ID) is obligatory.
Please note that the identifier must have a UPN format, otherwise you will not be able to save the configuration.
The Group members section allows you to add individuals to the created group by pressing Add. Conversely, the button with the same name in the Group owner section enables you to designate the group owner – a person who has the right to add and delete group members and manage the group.
To save the configured group, press the Save button available in the upper right corner of the menu. After saving, the group appears in the list of available groups. The hourglass icon displayed to the left of its name informs about the pending group synchronization (after it is completed, it disappears).
BPS Group Administrators cannot see the data of other BPS group administrators. However, they can add new ones, as well as freely edit and delete existing BPS groups.

Users and licenses
Reports for creating BPS users analogous to System settings → BPS Users and groups list, and for allocating licenses to users of the system, analogous to System settings – Licenses allocation.
The Active users, Removes users, and Temporary deployment access views are analogous to the views in System settings → Licenses allocation. There is also one extra view called Single-Use Access License Settlements that is used to monitor the usage of Single-Use Access Licenses

Active users
Like in Designer Studio, it is possible to create many BPS users at one time from the level of this view . Use the Add from template → Download template option, then later import the filled out template.
For users that already exist, it is possible to edit their phone number (as long as that user has logged in to Portal at least once before).
Removed users
Because licenses are not released automatically, they can be manually released from this view.
Adding and removing licenses can be carried out with the Manage BPS user licenses action.
Temporary deployment access
The window shows a list of users who have been granted temporary access to WEBCON BPS Portal and WEBCON BPS Designer Studio by the administrator for a period of 30 days without consuming an additional license. The administrator can grant such access to a maximum of 5 users at a time within an environment.
To provide temporary access to WEBCON BPS, click the Grant temporary access button, enter the user's name and the 10-digit code copied from the License Manager.
After successful validation, the designated user will have access to Studio and Portal for 30 calendar days. The user's details will appear on the list, including the Access expiration date, which is automatically set according to the database's time zone.
Single-Use Access License settlements
This view contains the most important indicators related to the Single-Use Access licensing mode:
- Available operations,
- Used operations,
- Configure notifications about the state of remaining operations,
- Usage of operations in the given year broken down by month.
Users activity contains an overview of license usage per user:
- Usage of operations in the given month broken down by user,
- The sum of how many operations a user carried out versus how many licenses were actually used up.
Licensed processes is a list of processes that have Single-Use Access licensing mode enabled.
The Notifications button is used to set up a warning message notifying about a low number of remaining licenses. Because these notifications are sent as Administrative notifications, activate the Licensing checkbox in the Range (in the notification configuration) section to enable them. The notification will be sent the number of remaining licenses drops bellow the chosen threshold, and then again when the pool of available licenses is exhausted completely.
